YOUR INFORMATION

PRIVACY POLICY

This policy explains what information WOW may receive, why we use it and the choices available to you. Last updated: 11 September 2026.

WHO WE ARE

WOW — What’s On Where — is an independent visitor-information website for Woodhall Spa and the surrounding area. You can contact us at hello@wowlincs.co.uk or 07815 865856.

INFORMATION WE MAY RECEIVE

If you email or telephone us, we may receive your name, contact details and anything else you choose to include in your enquiry. Basic technical information may also be processed by our website hosting and security providers to operate and protect the website.

WHY WE USE IT

We use enquiry information to reply, correct or manage website content, keep reasonable records and protect the website. Our lawful basis will normally be legitimate interests, taking steps at your request, or consent where that is specifically requested.

SHARING AND STORAGE

We do not sell personal information. It may be handled by service providers that support website hosting, security or email, or disclosed where legally required. We keep information only for as long as reasonably necessary for the purpose for which it was received.

YOUR RIGHTS

Depending on the circumstances, UK data protection law may give you rights to access, correct, erase or restrict use of your information, object to processing, or withdraw consent. Email us to make a request. You may also complain to the Information Commissioner’s Office at ico.org.uk.

COOKIES AND LINKS

The website uses essential technologies needed for security, sign-in and operation. Optional Google Analytics runs only when you accept analytics. You can reject it and still use WOW, and change your choice using the Analytics cookies button. The detailed analytics and newsletter explanation below describes the information used. Links to external websites are governed by their own privacy policies.

BUSINESS PROFILE MEASUREMENT

Business performance reporting is being prepared and is not yet active. When enabled, and only with your analytics permission, it will count views of approved business profiles and clicks on their phone, email, website and map buttons. These events use the public profile path and button type; they do not include your email address, telephone number or the destination contact link. Private business pages, logged-in accounts and labelled setup tests are excluded from this installation. Reports will contain totals, not visitor identities. Clicks are not proof of an enquiry, booking or sale.

CHANGES

We may update this policy when the website or its services change. The latest version will appear on this page.

Optional Google Analytics — added 6 September 2026

WOW uses Google Analytics 4 only after you select Accept analytics. It helps us understand visits, pages read and where visitors come from. Google receives basic page, browser and device information. Advertising features and enhanced measurement are disabled. We remove query strings and fragments from the page address sent by this installation. For campaign measurement we separately allow short campaign labels (source, medium, campaign and content) containing only letters, numbers, underscores and hyphens. We measure newsletter form submissions and confirmation-page returns, without sending your name or email address to Google. Confirmation-page measurement requires a recent form submission in the same browser and may miss confirmations made elsewhere.

The _ga and _ga_YEBL45GQ3K cookies recognise a browser for analytics; their configured lifetime is up to 6 months. With analytics permission, campaign labels are stored for the browser tab session and a newsletter submission timestamp and campaign labels may be kept for up to seven days as wow_newsletter_pending_v1, then removed on a measured confirmation or expiry check. Your accept or reject choice is stored on your device as wow_analytics_choice_v1 for up to 6 months. You can reject analytics and continue using the site, or change your choice with the Analytics cookies button. Withdrawing consent stops this installation and removes its analytics cookies on this device; it does not erase data already sent.

Google may process data outside the UK. Read Google's privacy information. Contact WOW at hello@wowlincs.co.uk with questions.

WOW email updates — updated 15 September 2026

When you submit the WOW updates form, your first name, email address and signup request are sent to Brevo to manage your subscription. You must actively tick the consent box and then confirm using the link emailed to you before joining the WOW updates list. Updates may include local events, places to visit, offers and competitions. You can unsubscribe using the link in every email. WOW does not sell your details or give your email address to local businesses. You can subscribe without accepting Google Analytics. Read Brevo’s privacy information.

The popup remembers a dismissal on your device for 30 days, or a submitted signup on that device so it does not keep appearing. This popup preference does not contain your name or email address.

Business submissions, enquiries and visitor tools — 9 September 2026

Private business information

David Charles manages WOW business accounts, event submissions, listing ownership checks, corrections and offers. Your account email, private phone number, review messages and unpublished photographs are used to manage the request and stay private in the website administration area. A business account does not subscribe you to marketing. The public contact fields you choose to submit, event information and photographs become visible only after editorial approval.

Service messages and newsletters

Hostinger hosts the website and its records. Brevo handles website sign-in messages and service notices, and separately manages WOW newsletter subscriptions. Business service messages are about your account or submitted information. When the automatic event-reply connection is enabled, Brevo passes replies to WOW so they can be matched to the event and stop further reminders. The reply text and review result are kept privately with the event records; attachments are not copied into the website. Newsletter updates use confirmed subscription permission and your optional interests. Unsubscribing from marketing does not stop a sign-in message that you request. You can use the unsubscribe link in newsletter emails at any time.

Enquiries and record retention

Community, volunteering, advertiser and business-access enquiries are used to review and answer your request. They are not published automatically and do not add you to marketing lists. Account and review records are kept while they are needed to manage the account, resolve the request, preserve the editorial decision or address a dispute. You can ask David to review, correct or remove your information. Finished public events go to a recoverable bin; the normal live bin retention is 30 days, unless it is emptied sooner. Copies can remain in provider backups until those backups expire.

Guides, plans and optional feedback

You can read and download visitor guides and build a plan without an account or newsletter signup. A downloaded plan or guide is kept on your own device. If you request a guide by email, your address is passed to Brevo for that one message and is not added to a newsletter list. The website keeps the latest 50 guide delivery results without email addresses or raw IP addresses. Coded daily email and connection checks expire after 24 hours. Brevo keeps its normal delivery records. The optional feedback form records monthly totals of answer choices, not names, email addresses or an individual answer history. A daily coded connection check limits repeated submissions and expires after 24 hours; the survey does not store the raw IP address. Normal hosting security logs are separate.

For a privacy question, access request or correction, contact hello@wowlincs.co.uk. We may need to verify that a request relates to you before sharing or changing private records. The rights and complaint information elsewhere on this page also apply.
